Software Cost Snapshot · Free

What does each of your tools cost per year, and who uses it?

Email us the tools your firm pays for, with rough seat and user counts. Within 2 business days you get a one-page snapshot: the yearly cost of each tool from sourced list prices, seats paid against people who use them, and 3 questions to ask at renewal. It is free, with no obligation.

What you send

A list, not your passwords.

Nothing confidential. No logins, invoices, contracts, or customer records. Rough numbers are fine.

What you get, within 2 business days

One page you can check against your invoices.

  1. Yearly cost per tool

Worked out from the vendor's list price, with the link and the date we checked it. Where a vendor does not publish prices, the tool is listed as not priced.

  2. Seats vs users

What you pay for next to what gets used, per tool, so unused seats and oversized plans are easy to spot.

  3. 3 questions for renewal

Specific questions to ask your vendors before you renew, based on what the numbers show.

Free, no obligation

Then a 20-minute call, only if you want one.

After you get the snapshot, Vaughn English offers a 20-minute call to walk through it. You can say no and keep the page.

If you want to see what a replacement could look like, we can build a free working prototype of the part of one tool your team uses, with fake data, not your records.

If one workflow looks expensive, the paid next step is the $350 Workflow Ownership Audit: a written keep, repair, switch, or build recommendation for that workflow, credited toward a build if you go ahead with one.

FAQ

Questions about the snapshot.

What do you do with the information we send?

We use it to write your snapshot and, if you want the call, to prepare for it. We do not sell it, share it, or add you to a mailing list. We only ask for tool names and rough counts, so there is nothing confidential in it. Our AI tools help with the price research, as our privacy policy explains, and you can ask us to delete your email at any time.

Is it really free?

Yes. No payment, no card, no contract, and no obligation to take the call. You keep the page: the yearly cost of each tool at list price, and the gap between seats paid and people who use them, from the numbers you sent. The $350 audit is a separate, paid next step, only if you ask for it.

What if we are on a tool you have not priced before?

We look it up on the vendor's own pricing page and give you the link and the date we checked. If the vendor does not publish a price, the snapshot lists that tool as not priced and adds a question to ask the vendor at renewal.

Who does the work?

Vaughn English takes every call and sets prices and direction. An AI-assisted team researches the list prices and prepares the snapshot, and every snapshot is checked before it's sent.

What if we do not know our exact seat counts?

Rough numbers are fine. "About 15 seats, maybe 8 people use it" is enough to start. Your invoice or billing page has the exact count if you want to check it later.

See our privacy policy for how we handle email.
